Recording Insurance Benefits

  1. Recording Insurance BenefitsIn the patient data window, click on the patient’s name.
  2. Click the button “Edit Patient” at the top.
  3. Click the button “Select Insurance Company”.
  4. In the pop-up window, find the primary insurance company and check the box under the column labeled primary.
  5. Type the insured’s ID number and group number in the columns labeled “patient insurance ID number” and “group number” respectively.
  6. If there is a secondary insurance company, follow the same steps in the Secondary column.
  7. If the patient has workers compensation or personal injury claim, check the box under the column “Short Term” and enter their case number in the column “Patient insured’s ID number”
  8. Click “OK” to save and close the window.
  9. If the patient has a deductible and you wish to charge the patient at the time of service, change the drop menu labeled “Visit Type” from “Standard Insurance Visit” to “Deductible Insurance Visit”. (NOTE: DO NOT use the “Deductible Insurance Visit” option unless you have entered the reimbursement fees for the selected insurance. company. See pages 11-12 to learn how to populate these fees.)
  10. Enter the primary insurance company Copay and Co-insurance (NOTE: DO NOT use the “Co-insurance” option unless you have entered the reimbursement fees for the selected insurance company. See page15 and 16 to learn how to populate these fees.)
  11. Enter the referring Physician’s name in the appropriate field.
  12. Enter the referring provider’s insurance ID in the field labeled “Referring Provider’s ID”.
  13. Enter referring provider’s NPI number in the field labeled “Referring Provider’s NPI”.
  14. If condition occurred from an automobile, work, or other personal injuries, then check the appropriate box labeled “auto”, “employment”, or “other accident” respectively.
  15. Enter the date of the incident by clicking on the calendar icon and selecting the appropriate date.
  16. Enter Prior Authorization number in the field labeled “Prior Authorization”
  17. Click “update” to save
  18. NOTE: If insured information is different from the patient’s, click the button “Insured (if different)” at the bottom of the window and enter the appropriate information.
