Managing Acuity Online Account

Acuity is an online scheduling service that is HIPPA compliant.  For more information on Acuities services go to https://help.acuityscheduling.com/hc/en-us/

Signing up

  1. Go to acuityscheduling.com
  2. Click “Pricing” at the top
  3. Click “Start Free 7 Day Trial” at the bottom of the “Powerhouse” plan (NOTE: Do not select any lower-level plans as they are not HIPPA compliant)
  4. Follow the setup and payment steps

 

Sign Business Associate Agreement (Per HIPPA Regulations)

  1. Login to Acuity
  2. Click My Account at the bottom left
  3. Look for the subheading “Current Plan”
  4. Find the bulleted item that says: Become a HIPAA enabled account by signing a BAA
  5. Click the underlined link “signing a BAA”
  6. Follow the steps to complete the document

 

Linking WonderDoc to Acuity Scheduling

(IMPORTANT: Make a backup of wonderdoc before continuing.  See page 64 for backup instructions)

  1. Login to acuityscheduling.com
  2. Click “Integrations” on the left
  3. Click “API” at the top of the window
  4. Click “View Credentials” under the “API” item
  5. Write down your User ID and API Key
  6. Open WonderDoc
  7. Click “Acuity Scheduling” at the top of the home screen
  8. Enter the User ID and API Key that was written down in the labeled fields
  9. Enter nomail@wonderdoc.com for the default email.
  10. Click “OK” when done to save and close.

 

Initiate Sync Between Acuity and WonderDoc

  1. Click “Acuity Scheduling” at the top of the WonderDoc home screen
  2. Select “Update Current Patients” in the options list (NOTE: You will see a spinning wonderdoc logo at the top right corner of the home screen. Wait for this logo to stop spinning and disappear before moving to the next step).
  3. Click “Acuity Scheduling”, then select “Assign Calendars to Providers”.
  4. Choose which calendars in acuity are associated with each provider.
  5. Click “OK” when finished.
  6. Click “Acuity Scheduling” on the home screen, then select “Update Current Patients”. (NOTE: You will see a spinning wonderdoc logo at the top right corner of the home screen. Wait for this logo to stop spinning and disappear before moving to the next step)
  7. Click “Acuity Scheduling” on the home screen, then select “Update Appointments”. (NOTE: You will see a spinning wonderdoc logo at the top right corner of the home screen. Wait for this logo to stop spinning and disappear before moving to the next step)
  8. Confirm all appointments are accounted for in both wonderdoc and acuity scheduling. (NOTE: If any appointments are missing or color codes mislabeled or assigned to the wrong provider, contact wonderdoc support before going on to step 9)
  9. Click “Acuity Scheduling” on the home screen, then select “Acuity Scheduling Active”.
