MANAGING OFFICE AND PATIENT REPORTS

Day Sheets

The day sheet transactions will be displayed by default after clicking the Reports application on the home screen. Charges and payments for any date can be viewed and printed for bank deposits or records purposes. By default the current day’s transactions will be displayed in the grid.

  • To quickly view day sheets for the previous day, current week, month, or year, click on the appropriate button located on the left of the screen.
  • To view a day sheet for a specific date range, click the calendar icon located within the “From” and “To” date fields at the bottom.
  • To view a provider’s day sheet, click the drop down menu labeled “PCP”
  • To view an office day sheet, click the drop down menu labeled “Office”
  • To print a day sheet, click on the “print” button at the bottom. Click print at the bottom of the print preview window and then follow steps in your printer utility window.

    Patient Ledger

    The Patient Ledger can be displayed after clicking the Reports application on the home screen and selecting the “Patient Ledger” tab. A list of transactions for each patient can be sorted and organized by any date range or case type.

    To View a patient’s ledger
    1) Click reports on the home screen
    2) Select the “Patient Ledger” tab at the top
    3) Find the patient by typing the patients last name in the field labeled “last name”
    4) Select the patients name in the list below
    5) Click add a year until the balances at the bottom right do not change.

    Functions of the patient ledger

    1) Viewing transactions for a specific case, select case from the drop down list labeled “case”.
    2) Sorting transactions within a date range, select a date in “from” and “To” date fields.
    3) Sorting transactions for the current day, week, month or year, choose the appropriate buttons located above the name filter.
    4) Printing the ledger, At the bottom of the screen:

      a. Check the box “Sort By Service Date”
      b. Click the “Print With Balances” button.
      c. Click “Print” in the print preview window
      d. Follow steps in printer utility window

    Patient Aging

    1) Managing filters

      a. Amount enter in field “Ignore Amounts Less Than” will omit bills with balances less than the entered value
      b. Enter date to ignore bill dated prior to period
      c. Choose which past due billing periods to print bills
      d. Select all or de-select all patients in list of past due bills by clicking the buttons “Select All” and “Clear All” respectively
      e. Filter bills for specific provider by clicking the drop menu labeled PCP

    2) Print patient aging report
    a. Click the button “Print”
    b. follow the print functions in your pdf application and printer utility window.
    3) Print batch bills
    a. Click the button “Print Receipts”
    b. Follow the print functions in your pdf application and printer utility window.

    Patient Statistics

    1) Click button New Patients to view number of new patients for the day, week, month and year
    2) Click the button Visits to view the number of patient visits for the day, week, month and year
    3) Click the button Appointments at the top of the window to view the number of canceled, missed or showed appointments for the day, week, month, and year
    4) Compare prior year’s statistics by checking the box labeled Compare to Prior Year at the bottom of the window.

    Coding Statistics

    1) Click the button Diagnosis at the top of the window to view specific diagnoses for day, week, month, and year
    2) Click the button Treatment at the top of the window to view specific treatments for the day, week, month, and year

    Financial Statistics

    Click the button Financial at the top of the window to:
    1) View total billed to insurance companies
    2) View total paid by insurance companies
    3) View total billed to patients
    4) View total paid by patients

    Office Ratios

    Office ratios Click button Ratios at the top of the window to:
    1) View PVA (patient visit average). This is the ratio of treatment visits per patient.
    2) View ADNP (Average Daily New Patient). This is the ratio of new patients per day
    3) View AVS (Average Visit Service). This is the ratio of money charged per visit
    4) View AVI (Average Visit Income). This is the ratio of money collected per visit
    5) View percentage of total insurance company visits
    6) View percent of total case visits
